Privacy Policy
This Privacy Policy explains how NJVAULT collects, uses, stores, processes, and protects information when studios and clients use the service.

1. Scope
This Privacy Policy applies to the NJVAULT website, studio accounts, dashboards, uploaded galleries, client sharing pages, contact forms, and related services.
2. Our role
Depending on the activity, NJVAULT may determine how certain personal information is processed or may process information on behalf of a studio using the service.
For example, NJVAULT manages account, authentication, operational, and support information needed to operate the platform.
A studio uploading client photographs or videos is generally responsible for determining why that client content is collected, uploaded, shared, retained, or deleted.
3. Information we collect
Account information
We may process names, email addresses, authentication identifiers, account identifiers, subscription information, plan status, and related account information.
Uploaded media
NJVAULT processes photographs, videos, filenames, file sizes, image dimensions, media types, gallery names, client names, event dates, descriptions, cover settings, and related metadata uploaded by studios.
Generated media
We may generate optimized previews and thumbnails from uploaded images for faster gallery display.
Contact information
If you submit the contact or suggestion form, we process the name, email address, message type, message content, submission status, and related information.
Technical information
Our systems may process information required to operate, secure, troubleshoot, and protect the service, including request data, timestamps, session information, device or browser information, and network information such as IP addresses where generated by our infrastructure.
4. How we use information
We use information to create and authenticate accounts, operate galleries, store media, generate optimized images, calculate account usage, enforce plan limits, provide downloads, generate sharing links and QR codes, maintain security, prevent abuse, troubleshoot technical problems, respond to enquiries, and improve NJVAULT.
5. Client photographs and videos
Studios control which media they upload to NJVAULT and which galleries they make accessible through client sharing.
Studios should ensure that they have an appropriate lawful basis, permission, authority, or other legal justification for processing and sharing identifiable individuals through the service.
6. Sharing links
A gallery sharing link is intended to allow clients to access a studio's gallery without creating a studio account.
Anyone who obtains a valid enabled sharing link or corresponding QR code may potentially access the gallery. Studios should therefore distribute links carefully and disable sharing where access is no longer required.
7. Service providers
NJVAULT relies on infrastructure and technology service providers to provide authentication, database services, object storage, hosting, network delivery, email functionality, security, and related technical services.
These providers may process information only as reasonably necessary for the services they provide to NJVAULT and subject to applicable contractual and legal requirements.
8. International data transfers
Some technology or infrastructure providers may operate systems or facilities outside Tanzania. Where personal data is transferred outside Tanzania, NJVAULT will handle such transfers subject to applicable data-protection requirements and required safeguards, authorizations, or permissions.
9. Data retention
We retain information for as long as reasonably necessary to provide the service, maintain accounts, satisfy operational or legal requirements, resolve disputes, prevent abuse, and enforce agreements.
Media associated with an expired account may be subject to a grace period and subsequent deletion according to the account's plan status.
Certain operational records may be retained for a longer period where reasonably necessary for security, dispute resolution, legal compliance, or fraud prevention.
10. Security
NJVAULT uses technical and organizational measures intended to protect information against unauthorized access, loss, alteration, disclosure, or misuse.
No internet or storage system can be guaranteed to be completely secure, so studios should also maintain independent copies of important media and protect their account credentials.
11. Your privacy rights
Subject to applicable law and the circumstances of the processing, individuals may have rights relating to their personal data, including rights to request information about processing, access data, request correction, request erasure, restrict certain processing, object to certain processing, request portability where applicable, withdraw consent where processing depends on consent, and submit a privacy complaint.
Requests concerning media uploaded by a specific studio may need to be handled together with that studio because the studio determines the purpose for which the client media was uploaded.
12. Children and minors
Studios may photograph events where children are present. The studio remains responsible for determining whether it has the necessary permission or other lawful authority to upload and share such media.
NJVAULT studio accounts are intended for persons capable of entering into the applicable service agreement.
13. Cookies and sessions
NJVAULT may use cookies or similar browser mechanisms that are necessary for authentication, security, session management, and operation of the website.

This Privacy Policy may be updated when NJVAULT changes its technology, features, service providers, business model, or legal obligations.

15. Privacy requests and complaints

Individuals may also have the right to lodge a complaint with the competent data-protection authority under applicable law.
